You have redesigned your site or your tree structure? Are you changing all or part of the product range on your e-commerce site? You want to change a large part of the keyword groups you have but without losing the potential keyword history? Follow the following 3-step tutorial to reorganise your keyword groups.
0: Prerequisite Unclassified: Make sure you have categorised all your keywords and that none of them are in the default "Unclassified" group. If this is the case, create a "To be classified" group and move the keywords into this group.
Keyword quota: you may already be using 100% of your allocated keywords. If you want to add new phrases during the reorganisation, then you may encounter quota problems. In this case, and to use the method that follows, you may need to delete the keywords you no longer want before starting the operation.
If you do not add any additional keywords, have an excess of keywords, or are just reorganising your groups during the manipulation, this does not concern you.
1: Export your data and modify your groups in an Excel/CSV file
To reorganise your keyword groups (without losing the history) you need to start by downloading your existing project in "SEO Tool" (or PPC) format:
You get a CSV file which you can open in Excel and then edit to display the data in columns with the separator ";".
To reorganise your keywords you can add or remove lines, the order of the lines does not matter as long as you keep the first line without renaming it, and that you indicate for each line all the information requested:
- Adgroups: name of your group
- Keywords: keywords or expressions
- Engine: Google, Bing or Yahoo
- Country: fr, en or other (see list of engines/languages/cities)
- Language: fr, en, etc. (see the list of engines/languages/cities)
- Device: desktop, mobile or tablet
- City: (see the list of engines/languages/cities)
The file is not case sensitive, you can indicate upper or lower case.
NB: to have a keyword on desktop AND mobile, or on Google AND Bing, or on LONDON AND CARDIFF AND DUBLIN, you must create 2 or 3 identical lines by varying this parameter.
Warning: to be sure you will find your way around, we advise you to indicate a group of keywords systematically, even "To be categorised later" if you do not know how to categorise it.
Once your new groups and keywords have been reorganised, you can export your file in CSV- UTF8 format. The default setting is normally correct. Otherwise choose a semicolon separator ";".
- export to "SEO tool" format from your SEO/PPC tracking
- manage additions/deletions of groups and keywords in a spreadsheet program: Excel (Google Sheet / Open Office / Numbers)
- export in CSV-UTF8 with a separator ";" (semicolon)
2: Delete your keyword groups in the tracking
To re-inject your new keywords and reorganise your account, but without losing the history, you will need to delete all the keyword groups in your account.
Click on the edit icon (small gear) and click on "Manage groups".
A pop-up with your list of groups will appear:
Hold down ctrl (PC) or cmd (Mac) to select multiple groups by clicking on each one. If this concerns all groups, click on the "select all groups" button.
Then click on "Delete" at the bottom of the page.
Finally click on "Finish" to return to your project.
3: Import your new file, remove uncategorised keywords
The last step is very simple, we will import the CSV file into the account (without having deleted any keywords in your project first).
Click on "add a keyword".
Click on the "CSV upload" tab
Click on "Upload CSV".
Select the previously exported CSV file on your disk and click on Validate.
The analysis of your file is done live to ensure that all lines are valid. In case of an error you can display the details to know where the problem comes from. Frequent errors: omission of a column, wrong file format, wrong city entry.
Click on "Confirm Import" and that's it! You have just re-imported all your keywords with the new groups.
The keywords for which you wanted to keep the history are still present and well arranged in the new categorisation that you have just imported (with their history).
The new keywords are calculated live.
The keywords that were no longer in the file are grouped together in the "unclassified" group.
All you have to do is delete the unclassified keywords if you don't want to keep them.
